Quality management (QMS)

The record of what went wrong, what was done about it, and what it cost.

Vendors Veeva QualityDocs, MasterControl, ETQ, Sparta TrackWise, SAP QM

01 What it holds

The data inside it

In one sentence

Non-conformances, deviations, complaints, CAPAs, audits and warranty claims — the cost of quality, held in a system finance rarely reads.

02 Getting the data out

Extraction, and the keys that decide whether it joins

Extraction

Vendor APIs, and in regulated industries an extract that must itself be validated. Free-text investigation notes hold most of the diagnostic value and need text processing to be usable.

Join keys

Claims reference a product, sometimes a batch, occasionally a serial number. The weaker that reference, the less the data can ever explain.

03 What goes wrong

The failures that look like success

Each of these produces a number that is plausible, reconciles to something, and is wrong. They are worth reading before the first extract, not after the first dispute.

Gotcha 01

Batch traceability is often partial

A complaint that names only a product cannot be traced to a shift, a line or a material lot, which is exactly the analysis worth doing.

Gotcha 02

Free text instead of codes

Root cause captured as prose cannot be aggregated, so the same failure recurs across sites without ever being counted.

Gotcha 03

Cost of quality is not in the QMS

The rework hours, the scrapped material and the warranty payment sit in ERP and payroll. Without the join, quality is discussed as counts rather than money.

Gotcha 04

Regulated change control slows integration

In pharma and medical devices, extraction and any downstream calculation may fall under validation, which changes the delivery approach rather than preventing it.

04 Joins that matter

What this system is worth joining to

Join toWhat it lets you answer

06 Questions

Frequently asked

How do we make quality a financial conversation?

Join the non-conformance to the cost of the material and the hours consumed, and report cost of quality per product family. Counts persuade quality teams; money persuades everyone else.

What single field improves this data most?

A reliable batch or serial reference on every complaint. It is the difference between knowing that failures happen and knowing where they come from.
